Before you start
Bill your client for costs on their case, such as filing fees or copies of records. You add the invoice, list what it's for, then publish it, which sends it to your client to pay online.
Start a new invoice
On the case, open Invoices and choose New.
Fill in the details
In Add Invoice, fill in:
- Title. Use letters, numbers, spaces and dashes.
- Recipients: who pays, such as your client.
- Due Date and Due Time.
- Notifications: when to remind them before it's due.
- Description, if you like.
Choose Create Invoice. It's listed under All Invoices, not yet published.
Add the line items
In the invoice's row, choose Edit Invoice in the Action list. Then:
- Fill in Invoice No:, and PO No:, Term: or Note: if you use them. Your client sees them on the invoice.
- For each line, choose Charge or Credit under Type, then fill in Description, QTY and Price. Add more adds a line, and the × removes one.
- Add a Discount(%) or TAX(%) if you need them. The discount comes off first, and tax is added to what's left.
Total($) is what your client pays. Preview shows the invoice as they'll see it.
Save and publish
Choose Save & Close. You're asked whether to publish it: Publish sends it now, and Later keeps it as a draft. To publish a draft, switch on Published beside it in All Invoices.
A published invoice can't be changed or deleted. To correct one, void it, then choose Duplicate Invoice, fix the copy and publish that.
What happens next
Each recipient is emailed a request to pay, with a link to the invoice, or texted if they have only a phone number, and it waits in their To DoTo Do The list on a case of things waiting for you, such as forms to fill in, documents to sign or events to confirm.. They're reminded at the times you chose until it's paid, and you get one copy of each reminder by email. They pay online from the email's link or the case's Invoices.
When they pay, they get a receipt, the invoice shows Paid, and you're emailed "An invoice has been paid". For a check or cash, mark it paid yourself: see Mark an invoice as paid or void.
An invoice is billed once. To bill the same costs again, choose Duplicate Invoice and publish the copy.
If something goes wrong
- Create Invoice stays greyed out. Fill in the title, Recipients, Due Date and Due Time, and use only letters, numbers, spaces and dashes in the title.
- You can't switch on Published. Add its line items first with Edit Invoice.
- "The due time has passed. Choose a later one." Change the due time with Edit Settings, then publish.
- Your client can't pay online. Your firm's Stripe account isn't set up: see Connect Stripe to collect invoice payments. An invoice under $1.00 can't be paid online either: "Invoice should be equal or greater than a dollar."
Your firm may have changed what each role can do on a case. If an option described here is missing, ask an Admin of your hub.
