A task templateTemplate A reusable feed post, form, e-sign, note or task kept in the Library and copied onto cases. is a checklist you reuse on every case, such as collecting medical records: a main task, its child tasks, any files, and the roles whose people do the work.

  1. Start the template

In Library › Task Templates, choose NEW. Fill in:

    • Title, such as Collect Medical Records. Use letters, numbers, spaces and dashes.
    • Who can use this template?: the roles that can add it to a case, such as Staff.
    • Notifications, if you like: reminders before the task is due.
    • Description, if you like.

    Choose SAVE.

  2. Open the task editor

In the list, choose Edit Task in the template's row.

  3. Choose who's assigned

Under Who can be assigned?, pick the roles whose people get the task on each case, such as Staff. To add a file to the main task, choose Attach File.

  4. Add child tasks

Choose Add Child Task, type its title and press Enter. Repeat for each step of the checklist, and drag them into order. Open a child task with its arrow to give it a description or files.

Each child task starts with the main task's roles at the moment you add it. To give it others, open it with its arrow and change its own Who can be assigned?.

  5. Save it

Choose Save. Child tasks, their descriptions and files save as you go, but the task's title, description and Who can be assigned? save only with Save. Cancel discards those without asking.

  6. Publish it

Switch on Publish in the template's row.

What happens next

Staff add the task from a case; see Assign a task on a case. A welcome rule can add it when a client joins; see Welcome clients automatically when they join a case.

On each case, the task and each child task go to the people who hold their roles on the case at that moment. A role nobody holds leaves it unassigned, so add your team to the case first.

Your hub starts with six task templates, such as Complete Your Intake Forms, already published. To adapt one, duplicate it.

If something goes wrong

  • Save stays greyed out. Give the task a title and at least one role under Who can be assigned?.
