The LibraryLibrary Where the firm keeps reusable templates for feed posts, forms, e-signs, notes and tasks. holds your firm's templatesTemplate A reusable feed post, form, e-sign, note or task kept in the Library and copied onto cases.: updates, forms, documents and checklists you set up once and then add to any case in a few clicks. Your automations use them too.
How it works
Library has a page for each kind of template:
| Page | What a template adds to a case | Your hub starts with |
|---|---|---|
| Feed Templates | An update on the case's feed, with any files | Eight, such as Welcome to Case and Document Request |
| Form Templates | A form for someone on the case to fill in | Case Intake Form |
| E-sign Templates | A document to sign, each field assigned to a role | Retainer Agreement and Release Authorization |
| Note Templates | An internal note built on a document, which by default only staff see | Case Representation Letter |
| Task Templates | A task with child tasks, assigned to the roles you choose | Six, such as Complete Your Intake Forms |
Who can use this template? sets which rolesRole A set of permissions that decides what someone can see and do on a case, such as staff or clients. on a case can pick the template when they add something there, such as Staff. The Bots role is added when you save, so your automations can use the template too. If you edit a template, keep Bots ticked.
A template can be used once it's publishedPublish Making a template or item final so it can be used or seen; a published template can't be edited, only copied., and publishing is final: a published template can't be edited or unpublished. To change one, duplicate it from its row, edit the copy, publish it and delete the old one.
What a template adds to a case is a copy, files included, so deleting a template takes nothing off your cases. A template an automation uses can't be deleted until you take it out of the automation.
When to use it
Make a template for anything you send many clients the same way: a welcome, a document request, your retainer, an intake questionnaire, an onboarding checklist. Staff then add it from the case, and a welcome rule can add it the moment a client joins; see Welcome clients automatically when they join a case.
To build one, see Create a feed template, Create a form template, Create an e-sign template or Create a task template with child tasks. To adapt a starter, duplicate it.
