Update a task's status

Move a task or child task assigned to you between To Do, In Progress and Done, and comment on it.

In this article6 sections

A task's status shows everyone on it how it's going. Set it as you work: In Progress when you start, Done when it's finished.

  1. Open the task

On the case, open Tasks and choose the task under Your Uncompleted Tasks. You can also choose Open Task beside it in your To Do, or follow the link in its email.

  2. Set its status

On the right, choose the status, which reads To Do at first, and pick In Progress or Done. It saves at once.

In the list, the task's Action menu offers To Do, In Progress and Done too.

  3. Update child tasks

Each child task has its own status, under Child Tasks or on its own page when you open it. Child tasks are due with their main task. Finishing them all doesn't mark the main task Done; its % Done shows how far they've got.

  4. Comment on it

Under Activity, type in Add a comment... and choose Save. To address someone, type @ and pick their name. To add a file, save the comment first, then choose Attach under it.

What happens next

A task has one status for everyone on it. If it's assigned to two people, either can change it, and Done from one finishes it for both.

When it's marked Done, the person who created the task is emailed, or texted, and notified in the portal, unless they marked it themselves. For a child task, that's whoever created the main task. To Do and In Progress tell nobody.

The task stays on each assignee's To DoTo Do The list on a case of things waiting for you, such as forms to fill in, documents to sign or events to confirm., with reminders, until it's Done, and goes back if it's set back. A repeating task comes back as To Do at its next date, with its child tasks.

A comment reaches the people assigned to the task and its creator, or, if you mention anyone, only them.

If something goes wrong

  • You can't choose the status. Only the people the task is assigned to can, even with the staff role, and only while the case is open. To set it yourself, tick your name under Assignees first.
  • "Finish or remove this task's open subtasks before marking it Done." A child task is still open. The message names each one, and they show in red in the task. Mark them Done, or delete the ones you don't need, then mark the task Done.

Your firm may have changed what each role can do on a case. If an option described here is missing, ask an Admin of your hub.
