Fix a form or e-sign you can't publish

What each message means when a form or e-sign won't publish, such as no recipients, a field with no signer or files still being prepared.

In this article2 sections

You switch on Published beside a form or e-sign, and it switches back off with a message, or the switch is greyed out.

Why it happens

  • "For publishes first select the person to answer" The form has nobody under Recipients.
  • "Please ensure all fields have participants before publishing" A field on the e-sign has nobody under Participants, or the e-sign has no fields yet. It happens most with a template, when nobody on the case holds a field's role.
  • "Assign at least one field to a signer before publishing." No field in the e-sign's saved document has a signer. It's rare, since the screen checks each field first.
  • "The rendered file is missing, so there is nothing to publish yet." The form has no document yet.
  • "The files are still being prepared. Please wait a moment and try again." A file you attached, or a template's document, is still being prepared.
  • "The due time has passed. Choose a later one." Publishing would ask people for something already late.
  • "This item is already published, so it cannot be published again or changed." Someone else, or an automation, published it first.
  • The switch is greyed out. Point at it to see why. An e-sign with no document says "Add a document first". A file that's still being prepared says "Document is still processing, please wait", and one that couldn't be converted says "This document could not be converted. Please upload a different file before publishing." An e-sign also says "The document is still saving. Please wait." while your last change saves, or "The last save of this document failed. Open it and check your changes before publishing." The switch also can't be changed once the item is published or answered, or on a closed case.

How to fix it

  1. No recipients: in the form's actions, choose Edit Settings, pick who fills it in under Recipients and save. Then switch on Published.
  2. A field with no participant, or no fields: choose Edit E-sign, click each field, choose Field Logic, pick its signers under Participants and choose Save. Add a signature field first if there's none. Anyone who signs must be on the case.
  3. No document: choose Edit Form or Edit E-sign, and in Add a new page choose From Upload or Blank page.
  4. Still being prepared or converting: wait a minute, then try again.
  5. Couldn't be converted: choose Edit Form or Edit E-sign and attach another file, such as a PDF.
  6. Due time passed: choose Edit Settings, pick a later Due Date or Due Time and save.
  7. Already published: reload the page. Nothing else is needed.
  8. Closed case: an Admin or Manager reopens it in the Admin Panel; see Edit a case.

A published form or e-sign can't be changed. To send a corrected one, duplicate it, change the copy and publish that.
