Send birthday messages automatically

Email or text a birthday message from a feed template to people in your hub on their birthday.

In this article5 sections

Your hub emails or texts each person in it a message on their birthday. It has one birthday message, ready from the start, and you can change its words.

  1. Write your message

Create a feed template with your message, publish it, and keep Bots under Who can use this template?; see Create a feed template. It goes to everyone in your hub, your team included, so write it for clients and staff alike. Only the text is sent, not files. Your hub's starter message, Post for Birthday Users, can't be edited, only replaced.

  2. Open Birthday Users

In Automation › Birthday Users, choose Edit birthday rule on your hub's birthday message, or New if it has none.

  3. Choose your template

In Edit Birthday Message, or Set Birthday Message for a new one, pick your template under Post template and choose Save.

What happens next

Each day at 9:00 AM in your hub's time zone, everyone in your hub whose birthday it is gets your message from your firm: by email, with the subject "Happy Birthday!" and a greeting with their first name, or by text if they have only a phone number. It goes as you wrote it, without a translation. Nothing is posted on a case, and people disabled in your hub don't get it.

Your hub's time zone is the one its creator's profile had when the hub was made. A message you set up after 9:00 AM starts the next morning. Someone born on 29 February gets it on 28 February in other years.

Birthdays come from the Date of Birth on each person's profile in Users; see Edit a user's profile and custom fields. People's own profiles fill it in too, if your hub receives Date of Birth; see Choose which profile details your hub receives.

To stop birthday messages, choose Remove on the message, then Delete.

If something goes wrong

  • Your template isn't listed. Publish it, and keep Bots in its Who can use this template?. See Fix a template that's missing from an automation.
  • Someone didn't get a message. Your hub doesn't have their birthday, they're disabled, or they have no confirmed email address or phone number.
